Examining the Effectiveness of Data Utilization in Healthcare Projects: A Case Study of Phase One Macha Hospital SmartCare, DHIS2, and Excel Projects

Abstract:
The effective management of health data is critical for evidence-based decision-making and improved project outcomes in healthcare settings. Despite the proliferation of digital health information systems, challenges persist in rural health projects regarding data accuracy, accessibility, and timely use for planning and monitoring. This study, conducted at Macha Research Trust, Zambia, investigated data management practices in health projects utilizing SmartCare, DHIS2, Excel-based systems, and KoboToolbox, with the objectives of assessing their effectiveness, exploring their influence on decision-making, and identifying limitations affecting their use.
A mixed-methods research design was employed, combining quantitative data collected from 80 respondents through structured questionnaires with qualitative insights from interviews with health personnel, data managers, and project staff. Descriptive and inferential statistical techniques were used to analyze data on system usage, types of data collected, frequency of data management activities, and confidence in system use.
Findings indicated that DHIS2 (75%) and SmartCare (48.8%) were the most commonly used systems, with patient-level clinical data (93%) and aggregate health indicators (66%) being the primary data types managed. Key data management activities included data entry, reporting, and validation, with most respondents reporting high confidence in performing these tasks. While data management practices positively influenced decision-making in areas such as resource allocation, planning, and monitoring, challenges including system downtime, limited training, and fragmented data sources were identified.
The study concludes that strengthening staff capacity, improving system reliability, and integrating multiple data platforms are essential to enhance data quality and utilization, thereby supporting effective health project management.
